Role Purpose
Support the effective day-to-day management of assigned commercial, residential, retail and mixed-use properties by coordinating property operations, tenant requirements, maintenance activities, inspections and service providers. Maintain accurate property records, monitor operational issues, support tenant satisfaction and ensure activities comply with OREM policies, procedures and applicable requirements.
Job Accountabilities & Activities
Operations:
- Support the Property Manager in coordinating daily operations across assigned properties.
- Conduct routine property inspections and identify maintenance, housekeeping, safety and presentation issues.
- Coordinate property and unit access for inspections, maintenance and approved activities.
- Support property handover and takeover activities and related documentation.
- Monitor property condition and escalate recurring or significant issues.
Planning: - Monitor key lease dates, administrative requirements and upcoming property actions.
- Coordinate planned maintenance and contractor activities to minimize operational and tenant disruption.
- Support property-level operational planning, budgeting and forecasting through accurate information.
- Follow up on corrective actions arising from inspections and property reviews.
Development: - Identify opportunities to improve tenant service, property administration and operational processes.
- Support implementation of approved process, tracker and documentation improvements.
- Contribute property observations and lessons learned to operational improvement initiatives.
Stakeholder Management: - Coordinate routine tenant enquiries, requests and complaints and facilitate timely resolution.
- Maintain professional communication and positive tenant relationships.
- Coordinate tenant move-in and move-out requirements.
- Communicate property notices, access requirements and planned maintenance activities.
- Coordinate with Facilities Management, contractors, vendors and service providers on operational requirements.
- Escalate unresolved, recurring or sensitive tenant matters to the Property Manager.
Reporting: - Maintain property operational trackers and provide accurate updates to the Property Manager.
- Assist in preparing reports covering occupancy, tenant matters, maintenance, inspections and operational indicators.
- Collect and validate property information for internal reporting and management reviews.
- Highlight operational trends, recurring issues and improvement opportunities.
- Ensure reported information is complete, accurate and supported by records.
Record Keeping: - Maintain accurate lease, tenant, unit and property information in approved systems and records.
- Maintain property files, contracts, correspondence, inspection reports and supporting documentation.
- Record maintenance requests, operational issues, work orders and completion status.
- Maintain updated tenant contact information and inspection records.
- Ensure documentation is properly filed and readily accessible in accordance with OREM requirements.
Compliance & HSE: - Support compliance with OREM policies, property procedures, lease requirements and applicable regulations.
- Identify and report health, safety, security and property-standard concerns.
- Support corrective actions arising from inspections, audits and property reviews.
- Coordinate compliance with property access, safety and operational requirements.
- Escalate material non-compliance and operational risks to the Property Manager.
Education & Certifications - Bachelor’s degree in Real Estate, Property Management, Business Administration, Engineering or a related discipline.
Certifications: - Relevant property management or real estate certification is advantageous but not mandatory.
Required Years of Experience
2–4 years of relevant experience in property management, real estate operations, facilities/property coordination or a related field.
