Job description
Job purpose
The Senior Specialist, Inventory Management will ensure accurate, compliant, and cost-effective management of inventory, assets, and warehouse operations across multiple camps. The role supports uninterrupted operations by implementing effective stock control systems, warehouse management, coordinating with vendors and field teams, maintaining data integrity, enforcing safety and audit compliance, and driving continuous improvement in inventory processes.
Key Accountabilities
- Inventory Oversight
Oversee general inventory, asset, and warehouse management across multiple camps through rotational presence (not fixed to a single location).
Manage daily inventory operations including receiving, inspecting, storage, issuance and distribution of materials and assets. - Stock Control & Warehouse Management
Implement systems to monitor material usage, prevent shortages, and reduce wastage.
Define reorder levels, safety stock, and asset thresholds for all inventory items and ensure timely replenishment.
Oversee warehouse operations across multiple camps, ensuring efficient storage, space utilization, material handling, and inventory flow.
Maintain organized warehouse layouts, proper binning systems, and accurate stock location records to facilitate efficient material retrieval and control.
Ensure all materials are stored in accordance with manufacturer recommendations, safety requirements, and company procedures.
Monitor warehouse capacity and utilization, recommending improvements to optimize storage efficiency and operational effectiveness.
Coordinate warehouse housekeeping activities to maintain clean, safe, and compliant storage facilities.
Manage warehouse equipment and storage infrastructure, ensuring serviceability, maintenance, and operational readiness.
Implement best practices in warehouse management to improve productivity, reduce handling time, and minimize loss or damage. - Reporting & Analysis
Maintain and update accurate daily, weekly, monthly, quarterly, and annual inventory reports.
Prepare ad hoc reports, dashboards, and data analysis to support management decision making.
Track, verify, and validate inventory data and report submissions received from field teams. - Compliance & Safety
Ensure inventory handling, storage, and distribution comply with safety, environmental, legal, and audit standards.
Enforce FIFO (or other approved inventory methods) to avoid expiry, damage, or obsolescence.
Maintain proper housekeeping, labeling, segregation, and safety compliance at all store locations. - Vendor & Service Coordination
Coordinate with suppliers and service providers to ensure timely delivery, repairs, maintenance, and quality assurance of inventory and assets.
Review technical proposals and quotations related to inventory, warehouse, and asset related services or supplies. - Asset Management
Track and monitor assets issued to users on a weekly basis.
Manage system requests for permanent and temporary asset assignments.
Ensure appropriate storage and handling conditions for sensitive items such as electronics, chemicals, and controlled materials. - Physical Checks & Audits
Maintain complete documentation for inward, outward, inter camp transfers, and asset issuance transactions.
Conduct random inspections and physical inventory counts to verify stock accuracy against system records.
Support internal and external audits and address discrepancies through corrective actions. - Disposal & Inventory Optimization
Identify and process disposal of obsolete, damaged, expired, or unused materials in line with company policies.
Apply inventory optimization techniques such as ABC analysis, safety stock calculation, and demand forecasting.
Monitor and minimize inventory shrinkage resulting from loss, damage, or theft. - Team Coordination & Training
Conduct weekly coordination meetings with field camp management teams to review stock status, issues, and compliance.
Deliver training on inventory procedures, reporting requirements, and system usage. - Financial Controls
Review petty cash invoices (for items bought in petty cash) and supporting documents for completeness and compliance before submission to reporting team
Follow up for the Inventory items related Delivery, Invoices & RN - Administrative Support
Request for PRs for inventory items, assets, and related services and follow up until delivery and closure.
Review and validate supplier invoices related to inventory, assets, and services for accuracy and compliance. - Continuous Improvement & Other Duties
Drive initiatives to improve inventory efficiency, reduce costs, and enhance system reliability.
Perform any other related tasks assigned by management in support of inventory and logistics operations
