Job purpose
The Senior Specialist, Fleet Management will manage and control fleet operations effectively by ensuring optimal vehicle utilization, safety compliance, cost control, and service reliability across field operations. The role supports uninterrupted transportation services through proactive maintenance planning, system management, vendor coordination, performance monitoring, and continuous improvement of fleet efficiency.
Key Accountabilities
- Fleet Operations Oversight
Oversee general fleet operations to ensure optimal vehicle availability, utilization, and efficiency.
Supervise daily vehicle allocation, scheduling, and usage based on operational requirements. - Maintenance & Safety Management
Manage vehicle repair and maintenance activities, ensuring timely completion and quality standards.
Plan, schedule, and monitor preventive maintenance programs for all fleet vehicles.
Conduct regular in person vehicle inspections to verify roadworthiness and condition.
Ensure full compliance with safety, legal, and regulatory requirements governing fleet operations. - Reporting & Performance Analysis
Maintain accurate daily, weekly, monthly, quarterly, and annual fleet reports.
Prepare ad hoc reports and data analysis to support management decision making.
Develop, implement, and monitor fleet KPIs such as downtime, cost per kilometer, fuel efficiency, and availability. - Vendor & Contract Management
Coordinate with fleet service providers and suppliers for vehicle maintenance, repairs, and
related services.
Review technical proposals and quotations for fleet related services and supplies.
Review and validate fleet service and supply invoices for accuracy and compliance.
Notify the Administration team in advance for timely renewal or extension of fleet contracts
and purchase orders. - Driver & Team Supervision
Supervise drivers & JMS Team performance, including roster planning and policy
compliance.
Manage and oversee the JMS team, implementing corrective actions when required.
Monitor and respond to Blue Key Users events such as seat belt violations or speeding and formally notify respective line managers for action. - Trip & Pool Service Management
Manage trip requests, including permanent vehicle assignments and pool service scheduling.
Ensure efficient allocation, availability, and control of pool service vehicles. - System & Documentation Management
Ensure effective TAMM system management, including registering vehicles under the
correct users.
Maintain up to date vehicle documentation including registration, insurance, and compliance records. - Fuel & Expense Control
Monitor fuel consumption patterns, identify variances, and implement control measures.
Manage driver petty cash, approve operational expenses, and ensure proper documentation and reconciliation. - Spare Parts & Inventory Coordination
Coordinate with the Inventory Team to ensure adequate availability of fleet related spare parts and consumables. - Accident & Insurance Handling
Manage accident-related processes including insurance claims, documentation, and repair follow up until vehicle closure and return to service. - Financial Controls
Review petty cash invoices (related to vehicles) and support documents before submission to Reporting Team. - Administrative Support & Continuous Improvement
Raise purchase requisitions for fleet related assets, items, and services and follow up until delivery.
Drive initiatives to reduce fleet operating costs, improve efficiency, and enhance service
performance.
Perform any other duties assigned by management in support of fleet operations.
Minimum Qualification, Experience and Competencies
Minimum Qualifications:
Bachelor’s degree in mechanical engineering, Logistics, Transportation Management, or related discipline, or equivalent relevant fleet management experience.
Minimum Experience:
Minimum 8–10 years of experience in fleet operations, transportation management, or related roles.
Experience managing vehicles across multiple sites or remote operations is preferred.
Hands on experience in fleet systems, maintenance coordination, and compliance management.
Experience working in remote sites, camps, or industrial / mining environments is preferred.
Proven experience with audits, reporting, and fleet management systems
